Committee management that keeps governance on track

Give every committee a secure, organized workspace -- with roles, terms, documents, and activity tracking built right in.

A dedicated workspace for every committee

Stop losing documents and tracking terms in spreadsheets. Committees are where the real work of an association happens -- strategic planning, policy review, event coordination, professional standards. But when committee management lives in spreadsheets and shared drives, things fall through the cracks. Documents get lost, terms go untracked, and new members spend weeks figuring out where everything is.

Give each committee a dedicated, secure workspace. Upside AMS gives each committee its own dedicated workspace inside your member portal. Committee chairs and staff can add members, assign roles, upload documents into organized folder structures, and track who did what and when. Members see only the committees they belong to, so there is no confusion and no accidental access to sensitive board materials.

Manage terms and transitions automatically. Every membership includes start and end dates, making it straightforward to manage terms and transitions. When a member's term ends, their access updates automatically. When a new member joins, they can immediately browse the committee's files and catch up on recent activity -- no onboarding lag, no chasing down old emails.

Built for associations that take governance seriously. We designed this feature for associations that take governance seriously. Whether you have three committees or thirty, Upside AMS keeps them organized, transparent, and easy to manage -- for staff and volunteers alike.

Key capabilities

  • Role-based membership -- assign owners, billing contacts, and custom roles to reflect your governance structure accurately.
  • Term tracking -- set start and end dates for each committee member so transitions happen smoothly and on schedule.
  • Hierarchical file management -- organize documents into nested folders by year, topic, or any structure your committee needs.
  • Activity feed -- see a chronological log of committee actions, with sequential file uploads grouped for easy scanning.
  • Secure access control -- members see only the committees they belong to, keeping sensitive materials protected.
  • Performance-optimized -- counter caches and efficient queries mean your committee pages load fast, even with years of accumulated files.

How it works for members

Access your committees and their documents in one place. When a member logs in to the portal, they see a clear list of the committees they belong to. Selecting a committee opens its workspace, where they can browse documents organized into folders, review recent activity, and see who else is on the committee along with their roles.

Stay current through the activity feed. There is no hunting through email threads or shared drives. Everything a committee member needs -- meeting minutes, policy drafts, reference materials -- lives in one place. If new files are uploaded, they appear in the activity feed so members can stay current without anyone having to send a notification manually.

Self-service tools for chairs and owners. For committee chairs and owners, the workspace also provides management tools: adding or removing members, creating folders, and uploading documents. It is self-service where it should be, with staff oversight where it matters.

How it works for staff

Manage all committees from one admin dashboard. Staff and administrators have full visibility across all committees from the admin dashboard. You can create new committees, add or remove members, assign roles, and set term dates -- all in a few clicks. The interface is designed for efficiency, so managing thirty committees does not take significantly more time than managing three.

Surface expiring terms and operational details at a glance. The admin view also surfaces useful operational details: how many members are on each committee, whose terms are expiring soon, and when files were last uploaded. This gives you the oversight you need to keep governance running smoothly without micromanaging every committee.

Keep committee access in sync with membership status. Because committee management is built into Upside AMS rather than bolted on, member data stays in sync. When a member's association membership changes, their committee access reflects that change -- no manual updates required.

Frequently asked questions

Can I have different permissions for different committee members? +
Yes. Every committee supports role-based access so you can assign owners, billing contacts, and custom roles -- each with its own set of permissions. Owners can manage membership and files, while other roles see only what you allow. This means your governance structure is reflected accurately inside the software, not just on paper.
What happens when a committee member's term expires? +
Committee memberships support start and end dates, so when a term reaches its end date the member is automatically transitioned off the committee. They lose access to committee documents and activity, while all of their historical contributions remain intact. You can extend terms or reassign roles at any time without disrupting ongoing work.
Can committees have nested folder structures? +
Absolutely. Our file management system supports hierarchical folder structures within each committee, so you can organize documents by year, topic, project, or any scheme that makes sense for your group. Folders can be nested as deeply as you need, and the entire structure is visible only to committee members with appropriate access.
How do members access committee documents? +
Members log in to their member portal and see a list of committees they belong to. From there, they can browse folders, download files, and review activity -- all within a clean, intuitive interface. There is no need to send documents by email or manage shared drive permissions separately.
